Terms of Service
Last updated September 11, 2026
These terms apply when you use Robyn. By setting up an account, or by letting Robyn answer calls for your business, you agree to them. If you are agreeing on behalf of a business, you confirm you have the authority to bind that business.
What Robyn is
Robyn is an AI receptionist that answers your business phone. It answers questions about your services, prices, hours and policies from the information you give us, books appointments into your calendar, and where you enable it, sends confirmations and reminders by text message. Calls are recorded and transcribed.
Robyn is software. It is not a person, and it is not a substitute for one.
What Robyn is not
This section matters more than the rest, so it is near the top.
- It can be wrong. The agent can mishear a name, a date or a number. It can state a price or a policy incorrectly. It can fail to book an appointment that a caller believes is booked. We work to reduce this, and we do not promise it will not happen.
- You should check its work. Review your bookings and your call records. You are responsible for appointments in your calendar and for what your customers were told.
- It is not for emergencies. Do not rely on Robyn to receive urgent, medical or safety-related calls, and do not present it as capable of handling them.
- It is not professional advice. Nothing the agent says is medical, legal or financial advice.
Your responsibilities
- Accurate information. The agent answers from what you give it. Keep your services, prices, hours and policies current. If you change a price and do not tell us, the agent will quote the old one.
- Your calendar. Keep staff availability and existing appointments accurate. The agent books against what your calendar says is free.
- Call recording. You instruct us to record and transcribe your calls. You are responsible for confirming that this is lawful where you and your callers are. Some states, including Florida, require all parties to consent. The agent discloses recording at the start of every call; do not disable or obscure that disclosure.
- Text messaging consent. If you enable texting, you are responsible for having the consent you need to text your customers, and for complying with the rules that apply to business messaging, including carrier registration requirements.
- Your account. Keep your login credentials secure and tell us promptly if they are compromised.
Acceptable use
You agree not to:
- Use Robyn to place unsolicited marketing or robocalls, or to send unsolicited text messages.
- Use it for any unlawful, deceptive or harassing purpose.
- Present the agent as a human being when a caller asks directly whether they are speaking to a person or to software.
- Resell, sublicense or white-label the service without a separate written agreement with us.
- Attempt to reverse engineer the service, extract our prompts or configurations, or interfere with its operation.
Fees and payment
- Service is billed monthly in advance at the rate we agree with you in writing.
- Fees are non-refundable, including for partial months, except where the law requires otherwise.
- We may change pricing with at least thirty days' notice before it takes effect. If you do not accept a change, you may cancel before it starts.
- If payment fails we may suspend the service after telling you. A suspended agent does not answer your phone.
Trials and free periods
We sometimes provide Robyn free of charge, or at a reduced rate, for a trial or introductory period. Those arrangements are what we state in writing at the time. During a free period either of us can end the arrangement at any time, for any reason, and nothing is owed.
Third-party services
Robyn is built on services we do not own, including HighLevel for the agent, calendars and messaging, and telephony carriers for calls and texts. When one of those has an outage, changes how it works, or deactivates something, Robyn is affected and we may not be able to prevent it. Your use of the service is also subject to the terms of those providers where they apply to you.
Availability
We aim to keep Robyn answering your phone continuously, and we do not guarantee uninterrupted service. Calls may be missed during outages, maintenance or provider failures. We do not offer a service-level guarantee or outage credits unless we have agreed one with you in writing.
Who owns what
- You own your business information — your service menu, prices, policies, customer records, call recordings and transcripts for your account.
- We own the service — the platform, the agent design, prompts, configurations, knowledge base structure and everything we build to deliver it. Nothing here transfers that to you.
- You grant us the licence we need to use your business information to operate the service for you, including sending it to the providers listed above.
Confidentiality
Neither of us will disclose the other's non-public business information to anyone who does not need it to deliver or use the service, except where disclosure is legally required.
Ending the agreement
- Service is month to month. You may cancel at any time, effective at the end of the billing period you have paid for.
- We may end or suspend the service immediately if you breach these terms, use it unlawfully, or do not pay.
- We may end the service for any other reason with thirty days' notice.
- On cancellation, ask us for an export of your call records before your account closes. See the Privacy Policy for how long we keep data afterwards.
- Your phone number. Tell us in good time if you want a number we provisioned released or ported. Numbers can be lost if an account closes without arranging this.
Disclaimer
Robyn is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the agent will answer every call correctly, book every appointment, or be free of errors or interruptions.
Limitation of liability
To the fullest extent the law allows, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, lost business or lost goodwill, even if warned they were possible.
Our total liability for any claim relating to the service is limited to the fees you paid us in the three months before the claim arose. Where the service was provided free of charge, our total liability is limited to one hundred United States dollars.
Indemnification
You agree to cover our losses, including reasonable legal fees, arising from your use of the service in breach of these terms, from information you gave us that was inaccurate or that you had no right to give us, from your failure to obtain consents you were responsible for, or from claims by your customers about how their calls or appointments were handled, except to the extent we caused the problem.
Governing law
These terms are governed by the laws of the State of Florida, without regard to its conflict of laws rules. Any dispute will be brought in the state or federal courts located in Florida, and both of us consent to those courts.
Changes to these terms
We may update these terms. The date at the top shows when they last changed. If a change is material we will tell clients directly before it takes effect. Continuing to use the service after that means you accept the change.
Everything else
These terms, together with anything we have agreed with you in writing, are the whole agreement between us. If any part is found unenforceable, the rest still applies. Neither of us waives a right by not enforcing it immediately. You may not transfer these terms without our consent; we may transfer them in connection with a merger or sale of the business.
